The Digital Process Improvement (DPI) team in the Ministry of Housing, Communities and Local Government (MHCLG) has developed an automated process and dashboard for reporting on homelessness.
It said this will support the MHCLG in providing grants for local authorities and social landlords for the purchase of housing to provide accommodation for people have slept rough.
It has worked with the ministry’s Homelessness and Rough Sleeping Accommodation team on replacing a manual process to capture data from three sources, developing a tailored reporting solution and automated workflows for the provision of real time data.
A centralised database consolidates all the relevant data – reducing the time spent on data collection – and the dashboard provides instant access to metrics and insights, replacing copy and paste processes and increasing the visibility of key performance indicators.
The automation of workflows has streamlined repetitive tasks and reduced the chances of errors, and version control capabilities have provided more clarity and traceability to the reporting process.
Time saving
The DPI team said: “The automated process and real time dashboard have removed up to seven days of manual effort per month, allowing the team to focus on some of their more value adding activities.
“It also enabled teams to track delivery better, including monitoring where challenges are arising and better manage issues at a local level. Overall, the improvement translated into significant efficiencies for the department.”
It also indicated that the solution could be used for similar projects within MHCLG.
