This is the privacy policy of Informed Communications Ltd, t/a UKAuthority.

Informed Communications is the data controller in relation to email communications from UKAuthority, to our data collection and usage, and to the www.ukauthority.com website.

This policy outlines our commitment to privacy and good data practice. It relates to aspects of our data processing and website operations in terms of how they affect the privacy of individuals we engage with, or wish to engage with, and/or who visit our website.

What we do

We are specialists in the evolution and use of technology, digital and data by the UK health and public sector for the public good.

We promote, facilitate and provide news and information regarding developments in policy and the use of technology, digital and data by local, government, central government, fire, police, health, housing, third and further education sectors for the improvement of public service delivery, efficiency and the public good.

We provide:

  • public sector data, digital and technology infrastructure focused news website;
  • weekday news e-alerts, electronic newsletters, subject-specific news updates (health and care integration, cyber resilience, data, AI and RPA, and smart places);
  • a programme of physical and online networking conferences and events;
  • a range of information and opportunities offered by third party specialists, including government bodies.

ALL OF THIS IS FREE OF CHARGE TO OUR READERS. We are able to provide this news, information and educational event service free to the public sector by accepting advertising, advertorial and sponsorship from commercial suppliers to the sector.

The data we hold and how we use it

Our audience:

We communicate with individuals using their official organisation contact information. Personal information is limited to an individual’s name and a business email address, along with their job title and employing organisation. We do not hold or use non-business information.

Our lawful basis for processing your personal information is legitimate interest - it enables us to keep you informed and potentially involved regarding news, developments, learning and networking opportunities in this extremely pressured sector in what is a critical time; where intelligent and innovative use of digital, data and technology may provide the only means to deliver effectively within financial constraints – which is in the best interests of the organisation you work for.

We use job title and organisation data for each individual on our database to build a profile of their role to enable us to send them news and information appropriate to their position. We manually add codes to represent their role and seniority within the organisation and to indicate mailing preferences.

Individuals may opt out of receiving our news and event alerts at any time.

A contact’s personal details will not be shared with third parties, including our research or event partners, without their expressed consent.

Data we currently hold for audience contacts regarding the sharing of their data with third parties with whom they have engaged by registering for events or research – under a business to business protocol – is safeguarded and will be gradually eliminated in line with our 18-month data retention policy for this type of information. Contact data will continue to be held unless the contact requests deletion of their information.

Our customers:

For our digital marketing and sponsorship customers we hold core customer relationship data that may include name, job title, employing organisation, email address, services ordered and delivered. This data is used to promote our products and services to existing or potential customers. Our lawful basis for processing this personal information is legitimate interest. Individuals may opt out at any time.

Where your data is stored and how it is protected

We store your data in a secure UK datacenter or in the Microsoft cloud via Office 365. These Microsoft services are hosted in the UK. Microsoft adopts leading security measures and adheres to all relevant international standards. Your information may also be kept in other public or private clouds used by service providers we have selected for specific purposes eg for event registration (Eventbrite).

Rights and responsibilities

You have the right to request details of the information we hold about you at any time.

We will send details of the information we hold about an individual within one month maximum of their requesting this information.

Details will include the source of the data, which may be directly from the individual, from a colleague, from their organisation website or by telephone, or from online resource such as Linked-in. We will also provide details regarding the sharing of their data with third parties if this has occurred.

We will remove individuals’ details from our database if they request this, and request that any third parties in receipt of the individual’s data also remove any details they still hold regarding that individual.

UKAuthority.com collects personally identifiable information such as your name, work email address, job title, organisation and telephone number when you register to receive news alerts from us via email.

There is also information about your computer hardware and software that is automatically collected by UKAuthority.com which may include your IP address, browser type, domain names, access times and referring website addresses. This information is used by UKAuthority.com for the operation of the website service and to provide general statistics regarding the website usage.
