New three-year frameworks support move towards full digitisation of records management in department
The Cabinet Office has wrapped up deals with a handful of companies to support its ‘physical to digital’ process with a range of scanning services over the next three years.
It is a part of a broader procurement for records management, carried out through the Crown Commercial Service, that the department has just concluded with an estimated value of £73.7 million.
The ‘scanning services’ contracts in the procurement have gone to Cleardata, TNT, Williams Lea and Xerox, with the Cabinet Office able to call off on deals valued at up to £25 million.
It accounts for an element of the department’s approach to ‘digital by default’, transforming paper to digital records, although the tender document made clear there will be a short term need to store physical records.
The framework involves the companies providing an end to end scanning service and will run into the end of October 2020, with a maximum call off period of three years.
The Cabinet Office has also set up a framework for a managed review service to identify whether records contain sensitive information and if there is a case for them to be withheld. Places have been allocated to two firms – Iron Mountain and TFPL – and it could be worth up to £35 million.
Other new contracts under the broader deal have gone to Canon for the supply of multifunctional devices and entry level print management software – valued at £12.5 million – and to EKM4, Purosolutions and UK Print Audits for audit and consultancy – valued at £1.2 million.
